Scheduling Manager

The Scheduling Coordinator is responsible for scheduling a high volume of appointments for service and installations. The Scheduling Coordinator works closely with the Branch Coordinator, sales reps, site surveyors and other management to ensure jobs are being properly scheduled and distributed accordingly and fairly between crews in a timely and efficient manner.

Responsibilities

  • Own and manage weekly and monthly installation calendars across all assigned markets, regions, and crews to maximize efficiency and balance workloads
  • Lead, coach, and develop Scheduling Coordinators / Install Schedulers, including assigning queues and territories to ensure equitable workload distribution
  • Review, approve, and manage reschedules, escalations, priority jobs, and complex scheduling decisions requiring managerial input
  • Establish, document, and enforce scheduling SOPs, best practices, and escalation paths, ensuring consistent execution across teams
  • Maintain accurate and up-to-date scheduling statuses, project notes, and records within NetSuite, Arrivy, internal trackers, and reporting tools
  • Communicate proactively with customers, Sales Representatives, Field Operations, Supply Chain, and Warehouse teams to confirm installation dates, material availability, and delivery timing
  • Ensure a positive customer experience by reducing delays, maintaining transparency, and resolving scheduling-related issues quickly and professionally
  • Manage and resolve escalations from customers, Sales, and internal stakeholders related to scheduling conflicts or operational constraints
  • Collaborate with leadership to identify process gaps, improve workflows, and implement operational enhancements
  • Perform additional management duties as assigned

Qualifications

  • High school diploma or GED required; associate’s or bachelor’s degree preferred
  • 2-4 years of experience in scheduling, operations, administrative management, or a related role, including prior leadership or supervisory experience
  • Spanish-speaking preferred, but not required
  • Demonstrated ability to manage teams and workflows in a fast-paced, detail-oriented environment
  • Strong customer service mindset with experience handling escalations and complex scheduling issues
  • Excellent verbal and written communication skills, with the ability to communicate effectively across departments
  • Proficient in computer applications including Outlook, Word, Excel, and scheduling or CRM systems
  • Proven ability to organize, prioritize, and delegate multiple tasks while meeting deadlines
  • Prior experience in the solar industry or construction/field services is a plus
  • Ability to spend extended periods working at a desk using a computer in a standard office environment
  • Ability to alternate between sitting and standing as needed
